A pizza horsebox can suit a wedding where you want guests to choose something they enjoy and eat at their own pace. Before booking, decide where the food fits into your day, then check that your venue and catering plan work together.

Decide when you want to serve pizza

Start by deciding whether pizza will be your main wedding meal or food for the evening. That choice affects the timing, the number of people you need to feed and what else you might want to serve alongside it.

For a main meal, explain how you picture guests eating and whether you want everyone served within a particular part of the day. For evening food, think about when your daytime guests last ate and when additional guests will arrive. Give your caterer that context when asking for a recommendation.

Count everyone who will be eating

Share your expected guest numbers, including children and anyone joining later. If you plan to feed your photographer, band or other suppliers, include them in the conversation too.

Be clear about whether the number is an estimate or your final count. Ask when the caterer needs confirmed numbers and how changes affect your booking. If guests will arrive at different times, explain that early so you can agree a service plan that gives everyone a sensible opportunity to eat.

Check the venue access and setup

Ask your venue where the horsebox can park and serve. The caterer needs to understand the route into that space, including gates, narrow turns, overhead obstacles and the ground surface. Send photographs or an access plan if you have them.

Confirm the space needed for the particular unit, including room for staff and guests around the serving area. Ask the caterer about any power, water or other facilities required, then check those arrangements with the venue.

Discuss wet weather too. Decide how guests will reach the food and where they can eat comfortably. Ask the venue and caterer to agree a suitable alternative if the planned ground or serving position cannot be used.

Fit food service into the wedding timetable

Share the main points of your day, including the ceremony, speeches, entertainment and the time guests are expected to leave. Agree a serving start and finish time that works around them.

Check when the team will arrive, how long setup needs and how access will work while guests are at the venue. Confirm arrangements for packing away as well.

Nominate someone your caterer can speak to on the day, such as your venue coordinator or another trusted contact. Ask how changes to the timetable should be communicated, so a delayed speech does not leave everyone guessing about dinner.

Talk through the menu and dietary needs

Ask which menu choices are available and how guests will choose their food. Discuss any sides or other dishes you are considering so the whole meal feels right for your plans.

Collect dietary requirements and allergies early and pass the details to your caterer. Ask what can be accommodated and how preparation and service will be managed. A menu label alone does not explain every part of the preparation process, so check the arrangements for individual guests directly. Make sure any agreed alternatives are included in your booking details.

Compare what each quote includes

Give each caterer the same date, location, guest estimate and serving plans. This makes their quotes easier to compare.

Check the proposed menu, staffing, travel, setup and length of service. Ask about plates, napkins, serving equipment and clearing away, and confirm whether any applicable VAT is included. Establish what your venue or another supplier will need to provide.

Read the payment and cancellation terms before booking. If something matters to you, such as a particular serving arrangement or agreed dietary option, ask for it to be recorded in the confirmation.
